Terms of service

The agreement that governs how you and PhdFit use the service. Last updated April 24, 2026.

Using the service

PhdFit is a tool for PhD applicants to find advisors who fit their background. You may use it for your own application process. You may not scrape the service, resell its output, or use it to send unsolicited bulk email to faculty.

Accounts

Keep your login credentials safe. You are responsible for activity under your account. Contact us immediately if you suspect unauthorized access.

Your content

You own your résumé, your conversations with the agents, your shortlists, and the outreach drafts you create. You grant PhdFit a limited license to process this content strictly to operate the service for you — see the privacy policy.

Outreach etiquette

PhdFit drafts outreach grounded in the recipient's actual papers. You are still the sender. Review every draft before sending, personalize where the agent left a placeholder, and follow your institution's and the recipient institution's policies on outreach. Do not forward the agent's raw output without a human read-through.

Service availability

PhdFit is offered as-is. We work to keep it up and honest about what the agents can and cannot do, but the LLMs underneath can make mistakes. Decisions about whom to contact, whom to apply to, and where to go to graduate school are ultimately yours.

Termination

You can close your account at any time. We may suspend accounts that abuse the service, violate these terms, or attempt to extract data at scale.
